The Knowledge Vault is your workspace’s document library. Upload drawings, specifications, submittals, RFI logs, markups, and any other project files, and RFI Manager indexes them so you can search across the full collection or ask the AI assistant questions that are answered directly from your uploaded content. The vault is organised into tabs — Files, RFIs, and Markups — covering the different document types your team works with.

Uploading documents to the vault

Navigate to the Knowledge Vault

Click Knowledge in the main navigation. The vault opens on the Files tab by default.

Upload a file

Click Upload and select a file from your computer, or drag it directly onto the files list. The vault accepts PDFs, common document formats, and spreadsheets.You can also use the Add menu for additional upload options:
  • Upload directly from your machine
  • Import via a connected integration (Autodesk, Procore)

Wait for processing

Newly uploaded files show a Pending status while they are being indexed. Processing time depends on file size. Once indexing completes the status changes and the file becomes searchable. Recently completed files stay pinned near the top of the list so you can confirm the upload finished.
Files are indexed at the workspace level. All team members in the workspace can search and query vault documents regardless of which project they have selected.

Searching the vault

Use the Search bar at the top of the Files tab to find documents by name, type, or content. Results update as you type. You can also sort and filter the file list:
  • Sort by — name, upload date, file type, or size
  • Filter by file type — narrow to PDFs, spreadsheets, or other document types
  • Filter by source — show only files uploaded manually vs. files synced from integrations
  • Filter by status — show only processed files or pending uploads

Using the AI assistant to query vault documents

The AI assistant can answer questions grounded in the documents you have uploaded to the vault. This is particularly useful for answering RFIs, verifying specification requirements, or checking drawing notes without scrolling through large PDFs manually.

Open the AI assistant

Navigate to Assistant in the main navigation, or use the assistant panel if it is available within the current page.

Ask a question

Type your question in natural language — for example, “What is the specified compressive strength for the concrete at the ground floor slab?” or “Which specification section covers exterior cladding?”

Review the response and sources

The assistant responds with an answer and references the specific documents and pages it drew from. Click a source reference to open the document in the preview panel at the relevant page.
The more complete your vault is, the more accurate the assistant’s answers will be. Upload the full specification set, drawing issue record, and any relevant submittals before using the assistant for project Q&A.

Managing RFI records in the vault

The RFIs tab displays RFI records that have been added to the vault for AI context. You can:
  • Sort and filter records by RFI number, date created, date uploaded, or status
  • Hide synced records to keep the list focused on manually uploaded items
  • Delete individual records or bulk delete a selection using the checkboxes
The Markups tab follows the same pattern for markup documents.

Workspace-scoped documents

All documents in the Knowledge Vault are scoped to your workspace, not to an individual project. This means:
  • A file uploaded in any project context is visible to all projects in the workspace
  • The AI assistant draws on the full vault when answering questions, regardless of which project is currently selected in the sidebar
  • Deleting a file from the vault removes it for all workspace members
There is no per-project document isolation in the vault. If a document should be restricted to a specific team, control access at the workspace membership level rather than the document level.

Deleting documents

To remove files from the vault, check the checkbox next to each file and click Delete selected in the toolbar. A confirmation dialog appears before the deletion proceeds. Deleted files are removed from the search index and are no longer available to the AI assistant.
